When the aircraft is on the ground, time pressure is how duplicate extract_easa_form1 jobs and a false “high confidence = release” story get created. Someone still has the Form 1; someone else already re-submitted the same PDF.
This is a proposed document workflow for receiving and AOG desks, not a claim that AI removes every AOG delay or replaces a release-to-service. Extraction confidence is not a release to service.
Next document task
Identify what is available, extract the supported EASA Form 1, and present unresolved questions to the responsible person. Give the assistant a limited objective. If the certificate is missing, the output should say so instead of improvising from an invoice.
Keep the shipment reference, certificate and operational notes distinct. Ask the assistant to identify which document supports each field it presents. Source of each value
Keep identifiers tied to the Form 1 job_id or to a named file that was only transcribed. If the needed evidence is absent, the output should say so. Do not blend AWB free text into Block 8 or into a serial array.
For EASA Form 1, compare part numbers, serial numbers, quantities and remarks against the original certificate. Preserve ambiguous text rather than guessing. Ask the assistant to surface uncertainFields near the item they affect.
The EASA certificate explanation gives the regulatory document context. An extraction result does not establish airworthiness or installation eligibility. Empty section 13 plus filled section 14 is often a maintenance Form 1.
Persist job_id under time pressure
If extraction returns a job identifier, keep it with the document reference. Poll get_extraction_result while status is dispatch_pending, queued, running, or outcome_unknown. Do not re-submit the same file simply because an agent call times out. Night-shift re-attaches consume another weekly unit when fingerprint replay does not apply (new scan, failed prior job, or more than 24 hours).
The EASA Form 1 MCP walkthrough describes the supported file paths and result retrieval behavior. On failed_refundable or failed_charged, show lastError so an operator can decide how to continue. Re-sending the same file within 24 hours may replay; still check get_usage.
DOWNLOAD_URL_EXPIRED means attach again in the same turn. MCP_QUOTA_EXHAUSTED waits until Monday 00:00 UTC unless paid credits exist. TOO_MANY_PAGES means send only the Form 1 pages, not the whole packet.
Extraction confidence is not a release
Confidence is attached to a field the model read. It is not a measured accuracy guarantee, not a certificate of release to service, and not permission to install. Reviewers still look at the PDF when uncertainFields includes a serial or remark path.
Do not silently normalize serial characters so they match the work order. Keep box10SerialNumbers as an array. Matching a physical item on a guessed character is a receiving error.
If the packet is FAA-only, stop. There is no public FAA tool. Use the 8130-3 reading guide for transcription, and FAA API availability for planning.
Duplicate work
Show the next document, check usage, extract once, and retrieve by job_id. Under time pressure the dangerous prompt is “try again” without the identifier. That starts a second job when fingerprint replay does not apply, which is how a night shift still spends the week on new scans.
If the first call has not settled, wait poll_after_seconds and call get_extraction_result. If the attachment URL expired, attach in the same turn. If quota is exhausted, stop and use the paper Form 1 until Monday 00:00 UTC or until paid credits exist.
The aviation agent page is the same receiving-desk rule, not a ChatGPT-only path. There is no REST /extract. Do not send an 8130-3 to the EASA tool because it looks similar.
Serial numbers stay arrays when you paste into the AOG worksheet. release13 and release14 stay separate objects so production and maintenance statements are not merged.
Reviewable AOG handoff
A reviewable handoff lists source references, reviewed identifiers, open discrepancies, job_id if an EASA job ran, and the next responsible person. Dispatch, booking, filing and external messages remain separate authorized actions outside the extraction chat. Include the extraction disclaimer on that list.

If two people attach the same Form 1 in two chats, you can still get two jobs unless fingerprint replay applies. Put the job_id in the AOG channel topic. Treat a second extract as an incident, not a shortcut.
get_usage on a night shift
Call it before the first extract and after any failed experiment. If remaining is zero and there are no paid credits, stop. Paper and a human reviewer still work; a second MCP job does not.
poll_after_seconds is the wait while status is dispatch_pending, queued, running, or outcome_unknown. It is not permission to start a parallel extract. replayed on a later call can mean you already have the job — store that id instead of celebrating a “new” success.
